How to Create and Use Email Aliases
An email alias allows you to receive mail sent to one address (e.g., sales@yourdomain.com) and have it delivered to a different mailbox (e.g., yourname@yourdomain.com). This is a great way to manage multiple business functions or professional roles within a single inbox.
At Purelymail, you can receive mail at an alias and reply using that same address so your recipients see the alias instead of your primary account.
Step 1: Create the Routing Rule (Incoming Mail)
First, you must tell our system where to send the mail arriving at the alias address.
Log in to the Purelymail Account Admin portal: Access your account management dashboard (not the Webmail inbox).
Navigate to Routing
Add a New Alias:
Select Domain: Choose the domain the alias will belong to.
Set the Rule: Choose your match type. Most users choose Specific email address (e.g.,
info@).Assign Destination: Input the user email address where these messages should be delivered.
Save: Click to create the rule. You are now ready to receive mail!
Step 2: Configure Sending Restrictions (Permission)
Before you can send mail as your new alias, you must ensure your account permissions allow it.
Check Sending Restrictions: In the Purelymail Account Admin portal, navigate to Settings > Sending Restrictions.
Verify Permissions:
By default, Purelymail allows users to "Send from whoever they want." If this is selected, you are all set.
If you have selected "Restrict who users can send as," you must create a specific policy to allow your user to use that alias.
Step 3: Add the Alias to Webmail (Outgoing Mail)
To send or reply as your alias from our Webmail interface, you need to add it as a sender option.
Log into Webmail: Sign in to the specific account that receives the alias mail.
Navigate to Settings: Click the Settings (gear icon) and select the Identities section.
Add the Alias:
Click Create at the top of the page.
Display Name: Enter the name you want recipients to see (e.g., "Sales Team").
Email: Enter the exact alias address you created in Step 1.
Configure SMTP:
Save the entry first to refresh the page.
Once saved, the SMTP settings section will appear.
Ensure your SMTP credentials match the requirements found on our Connectivity Page.
Save and Test: Save your changes. Compose a new email and select your new alias from the From dropdown menu to test it.
Important Tips
Users vs. Aliases: Since Purelymail doesn't charge per user, you can create as many users or aliases as you like. Aliases are best when you want all mail to end up in one shared or primary inbox.
Third-Party Clients: If you use Outlook, Gmail, or a mobile app, you will need to follow that specific app’s guide for adding a "Sender Alias" to use it there.
Catch-Alls: If you use a catch-all routing rule, you can create aliases in Webmail for any address that matches that rule.
